Commercial Electrical Maintenance Checklist for Kent Premises

Electrical maintenance is easier to control when it is treated as an ongoing building-management process rather than a collection of emergency call-outs.

This checklist is designed for facilities managers, schools, hospitality venues, landlords and commercial property teams responsible for premises in Kent. It provides a practical starting point for reviewing records, identifying risk and planning competent inspection or remedial work.

It is not a substitute for a site-specific risk assessment or advice from a competent electrical contractor.

1. Confirm who is responsible

Start by recording who controls the electrical installation and who is authorised to arrange inspections, isolate equipment, approve remedial work and retain documentation.

Responsibilities may be shared between an employer, landlord, tenant, managing agent or facilities contractor. The arrangement should be written down so defects do not sit unowned between different parties.

Record:

  • the responsible person or dutyholder;

  • the site contact for electrical work;

  • the person authorised to approve urgent repairs;

  • landlord and tenant responsibilities;

  • arrangements for occupied areas, contractors and vulnerable users.

2. Build the site electrical record

Gather the information needed to understand the installation before setting maintenance dates.

Useful records include:

  • the latest Electrical Installation Condition Report;

  • installation and minor-works certificates;

  • distribution-board schedules and circuit information;

  • previous remedial-work evidence;

  • emergency-lighting inspection and test records;

  • portable-equipment inspection and test records where used;

  • fire-alarm, access-control, EV-charging and building-control information;

  • manufacturer instructions for specialist equipment;

  • records of faults, overheating, nuisance tripping or water ingress.

Missing documentation does not automatically mean an installation is unsafe, but it makes condition, change history and responsibility harder to assess. Ask a competent contractor what needs to be reconstructed or verified.

3. Check for immediate warning signs

Staff should know how to report visible defects and when to stop using equipment. Warning signs can include:

  • damaged sockets, switches, plugs or cables;

  • burn marks, unusual heat or a burning smell;

  • repeated protective-device operation;

  • temporary leads or adaptors being used as permanent supplies;

  • broken covers or exposed parts;

  • water near electrical equipment;

  • damaged external equipment;

  • inaccessible or poorly labelled isolation points;

  • unauthorised alterations.

Do not open equipment or attempt electrical repairs unless you are competent and authorised to do so. Remove unsafe portable equipment from use and escalate installation faults promptly.

4. Review the fixed installation

The Electricity at Work Regulations require electrical systems to be maintained where necessary to prevent danger. They do not create one universal inspection interval for every commercial property.

The appropriate inspection and maintenance plan depends on matters such as:

  • the type and age of the installation;

  • how the building is used;

  • environmental conditions;

  • previous inspection findings;

  • the level of wear, damage or unauthorised change;

  • manufacturer information;

  • the judgement of the dutyholder and competent inspector.

Review the latest report's recommended next-inspection date and any observations. If the premises have changed use, received major alterations or experienced damage, do not assume the previous interval still fits. 5. Close out remedial work properly

A report is only useful when observations are reviewed and actions are controlled. Link each item to the appropriate electrical remedial work and retain completion evidence.

For every item, record:

  • the observation and location;

  • its classification or priority;

  • any immediate safety action;

  • the agreed remedial scope;

  • who approved and completed the work;

  • the completion date;

  • the relevant certificate, report or photographic evidence.

Avoid marking an item complete based only on an invoice description. Retain the correct certification or evidence with the building record.

6. Include emergency systems

Electrical maintenance planning should include systems that support safe evacuation, fire precautions, security and continued operation. This should form part of a wider statutory electrical compliance plan rather than sitting in separate, unowned spreadsheets.

Depending on the premises, this may include:

  • emergency lighting and illuminated signage;

  • fire-alarm power supplies and interfaces;

  • access-control and door-release systems;

  • standby supplies and generators;

  • critical pumps, ventilation or control panels;

  • surge protection and protective devices;

  • UPS equipment and server-room supplies.

Confirm which contractor is responsible for each system and how faults are escalated. Specialist systems may require separate competent providers.

7. Use a risk-based approach to portable equipment

The law does not require every portable appliance to receive an annual test regardless of risk. Inspection and test frequencies should reflect the equipment, its environment, how it is used and its history.

Encourage users to report visible damage before use. Higher-risk equipment, harsh environments and frequently moved items may justify more frequent checks than low-risk equipment in a controlled office.

Keep the rationale for the chosen inspection regime, not just a spreadsheet of test dates.

8. Plan around the building's operation

Good maintenance planning reduces disruption as well as risk.

Before work begins, consider:

  • safe isolation requirements;

  • shutdown windows and business continuity;

  • occupied classrooms, bedrooms, kitchens or public spaces;

  • permit and access arrangements;

  • asbestos information and hidden services;

  • vulnerable occupants;

  • temporary supplies;

  • testing, certification and handover after completion.

Schools, hospitality venues, managed accommodation and infrastructure sites each need a different access and communication plan.

9. Review energy and capacity during maintenance

Maintenance visits can reveal opportunities that should be planned rather than treated as isolated sales add-ons. A competent review of existing capacity should come before major new loads or wider electrical installation services.

Ask whether the installation still supports:

  • current occupancy and equipment loads;

  • future EV charging;

  • LED or lighting-control upgrades;

  • ventilation and cooling requirements;

  • distribution-board capacity;

  • monitoring or building-management controls;

  • planned refurbishment or change of use.

Condition, capacity and energy performance are related but separate questions. An installation can be operational today without being suitable for a proposed expansion.

10. Set a simple review cycle

Create one controlled schedule containing:

  • recurring visual checks;

  • inspection and testing dates;

  • emergency-system checks;

  • document-expiry dates;

  • outstanding remedials;

  • planned shutdowns;

  • responsible people;

  • budget status;

  • completion evidence.

Review the schedule after faults, alterations, changes of use or updated risk information. The goal is to make maintenance decisions visible before they become urgent.

When should you call a commercial electrical contractor?

Seek competent advice when:

  • the latest inspection is missing, expired or unclear;

  • defects or repeated tripping are reported;

  • remedial items remain open;

  • the building is being altered or changing use;

  • new plant, EV charging or major equipment is planned;

  • documentation does not match the installation;

  • maintenance responsibilities are unclear;

  • you need a planned programme across multiple premises.
